    Responsibilities

    Job Summary
    The SUPERVISOR-GIFT SHOP OPERATIONS oversees financial, business and daily operations of gift shop at one of the HH campuses. Performs daily deposits, merchandise transfers with adjustments, logistics and reconciliation of records. Processes invoices and financial reports. Monitors sales, profitability, inventory levels and budget. Maintains quality and regulatory compliance. In coordination with the Volunteers Supervisor, oversees daily activates of volunteers assisting in the gift shop. May supervise a cashier. Schedules, plans and revises work assignments. Performs, participates and makes recommendations on hiring, interviewing, disciplinary, terminations, training, annual reviews, career development, mentoring, coaching, etc. Works closely with Buyer assigned to the gift shop to maintain inventory, purchase supplies and develop budget. Creates and maintains a cohesive working environment.
    • Performs and oversees daily shop operations including cashiering, unpacking of merchandise, monitoring of inventory, customer service and store coordination; works on gift shop sales floors as needed; preparation for year-end inventories. Utilizes and supports the point of sale (POS) system with inventory, sales and merchandise entry. Provides data for accurate pricing, sales and inventory reports. Maintains sales floor, processing area, storage, backroom and office in a safe, clean and orderly fashion. Handles mark-downs and mark-outs of merchandise; repairs damaged merchandise. Schedules sales calendar for in-store promotions. Works with Buyer and oversees in-store promotions; prepares sales breakdowns following promotions and event fundraisers. Assists in writing promotional ads/articles for Dialogue, web page, Internet, screen saver, fliers and memos; prepares promotional signage; distributes advertising for gift shop events. Utilizes all resources effectively and efficiently; recommends changes.
    • Prepares daily register reports; reconciles cash register detail with cash and charges; prepares cash for bank deposit; replenishes change supply; tallies monthly gross sales; monitors vending machine and other repayments; monitors payroll deduction report. Process returns, resolve issues related to credit card charge-backs, bank debits/credits, bad checks, payroll deduction. Assists payroll Department in resolving related issues as needed.
    • Assess plans, establishes and revises work assignments. Interviews, and trains volunteers and cashier at gift shop. Performs and makes recommendations on hiring, interviewing, disciplinary, terminations, training, work assignment, projects plans, staff scheduling, career development, mentoring, coaching, performance reviews and goals.
    • Assists Buyer with development of site merchandise buy plan; monitors sales summaries to maintain profitability and competitiveness. Assists with contract negotiation. Reviews and reports shortage or other adjustments on gift shop merchandise and reports impact on order to buy. Reviews balancing month end reports and vendor invoices while assuring accuracy.
    • Prepares monthly volunteer service performance which includes financial viability and potential growth areas for the gift shops to the Auxiliary Board.
    • Works with leadership to develop annual business plan, budget and timelines.
    • Implements and monitors Quality improvement, Federal and JCAHO programs for the department ensuring safety and compliance with hospital policies.
    • Attends and participates in pertinent meetings relating to policies and or priorities concerning staff and department. Attends and contributes at staff and volunteer in-service meetings; performs faxing/photocopying as necessary; liaisons with Volunteer Services office staff; assists in establishing and implementing shop policies and procedures. Provides support to gift shop as needed.
